How does my UCSF entity go about leasing off-campus space?
The first step is to call Real Estate Services at (415)353-4750. Be prepared to provide specific information concerning your space requirements, such as the use of space, number of employees in space, location preferences, timeframe in which the space is needed, and the budget available. If necessary, we can assist in determining the square footage required to meet your needs.
- Once the specific space needs have been determined, a written Request for Services is required in order to initiate a space search. This memo must contain the space requirements discussed and authorization from your Dean's office in order for us to proceed.
- Depending on your space needs, location, and the current market, the entire process could take from 6 weeks to many months, especially if Regents' approval is required.

Who has approval authority to enter into a lease on behalf of a UCSF entity?
The Chancellor has delegated authority to enter into leases on behalf of the UCSF campus and UCSF Medical Center to the Senior Vice Chancellor, University Advancement and Planning, and the Director, Real Estate Services. All requests concerning off-campus space come directly to Real Estate Services. Please see The Campus Lease Policy.
Who negotiates a lease?
Real Estate Services is a full service real estate unit. We negotiate the lease for you, based on the project needs you define and subject to your approval. The department chair and the Dean or senior Medical Center leadership are then asked to give approval before the lease is signed. For additional details, see The Lease Process.
Who pays the rent on a lease?
The authorizing party is responsible for the rental commitment as agreed upon in the lease. Real Estate Services arranges for payment of rent in accordance with the lease terms based upon account and fund information provided during the lease approval process.
Who keeps the original signed lease?
Once the lease is fully signed, Real Estate Services is the office of record and maintains an original copy. Your department and Accounting will be provided with a copy of the signed lease.
Is it possible to rent lab or research space?
These spaces are scarce in the area. The infrastructure, zoning, and use requirements limit the potential sites within the City. This type of space typically needs to be developed from shell condition (large empty space) and costs are difficult to project without an identified site to evaluate. Can my department get a list of all the locations where UCSF leases space?
Real Estate Services distributes a quarterly campus space inventory report summarizing leased locations to all Schools and to various departments. If your group would like a copy please email a request to our office.
When should we start planning for our lease expiration?
The timing depends on the size and use of your space. Larger tenancies could require as much as a year or more and smaller tenancies usually requiring 6 to 9 months. Contact our office for additional information.
Would UCSF be interested in leasing some space in a building I own?
It is possible that the University would be interested in leasing your space. All leased properties must meet the University's Seismic Safety Policy and all applicable codes. If you feel your space may be appropriate for UCSF to lease, please feel free to contact our office.
Does UCSF rent space to non-UCSF tenants?
Yes, we do rent space on occasion to non-UCSF entities. Contact our office if you need additional information.
