Request for Real Estate Services
To initiate a Real Estate Service project, we require a written request with the appropriate approvals. This is due to the substantial resources, research, and time involved in developing and negotiating real estate transactions. This sample memo is provided as a guide.

RE: Real Estate Service Request for School/Department/Program
Your request to Real Estate Services for market surveys, site analyses, or lease negotiations should address the items below.
Please include the following:
· A description of the program.
· Description of space required, including square footage, number of private offices,
number of employees, location preferences, and any other special requirements
pertinent to your space needs.
· In the event of a relocation specify the reason and the old location.
· Approximate lease term desired including options to extend.
· Available budget.
· The account number (if available) from which rent shall be paid.
· The current proportion of the rent to be funded by grants.
The memo should be signed by the department's respective Chair and Dean or Vice Chancellor (or their designated representative) before being mailed or faxed to the Director of Real Estate Services. After review of your request, Real Estate Services will contact you for further discussion.

Once a lease site is identified and agreement to terms and conditions reached with the landlord, you will receive a Lease Review Form summarizing the basic lease terms. Upon approval of the form by the Department Chair and Dean, or Vice Chancellor, Real Estate Services will execute the actual lease documents. Copies of the final documents will be forwarded to the department.
